Position Summary:

To establish and maintain contact with prospective North Central College transfer students by phone, by written/electronic correspondence, and in person in order to provide information about the College, including that related to scholarship and financial aid availability. To counsel and advise prospective transfers and to assist those interested in the application process. To achieve or exceed goals with regard to the number of qualified transfers who enroll and to assist them in making a smooth transition to North Central College.

Description of Key Responsibilities:

1. Interact with students formerly or currently enrolled at a community college or a four‐year college who may be qualified and interested in becoming North Central College students. Sources for contacts include responses to mailings and marketing initiatives, referrals from alumni and others, personal contacts made at community college visits and college fairs, inquiries from individuals, web inquiries and other sources. Ensure that contact is established and, when appropriate, maintained with these prospective students by personally calling, e‐ mailing, or sending postal mail to them and/or seeing that assigned student workers accomplish the task; also meet with them personally in a variety of settings (see below).

2. Represent North Central at college fairs and visit community colleges on a regular basis; engage and provide prospective transfer students with information and literature about the College. Periodically meet with community college counselors, advisors, and transfer center coordinators in order to keep them informed of North Central's activities and programs. Make these arrangements in advance with appropriate personnel, secure promotional materials (if applicable), and notify prospective students by phone, e‐mail, and/or mail.

3. Provide information about the College and perform unofficial transcript evaluations and grade point calculations. Guide students (and their parents, if applicable) through the processes of applying for admission and financial aid; offer counseling to assist them in making their transfer decision. Maintain records of contacts made and results thereof.

4. Encourage interested prospective students to visit campus, either individually or during larger‐ group programs. Provide unofficial evaluations of prior coursework, advice on use of course substitution guides and planning templates, and unofficial advising about courses‐in‐progress or future coursework at other colleges and universities. Make arrangements for on‐campus counselor meetings, admission interviews, tours, class visits, meetings with faculty and/or coaches, meals and other activities. Assist with the planning, promotion, and implementation of on‐campus visit programs for prospective transfer students.

5. Review transfer applications, transcripts, and related supplemental documents and calculate grade point averages in order to make both admission and academic scholarship recommendations.

6. Assist prospective transfer students and their families in the process of understanding, applying for, and assessing scholarships and financial aid; help them access and complete forms needed for completion in a timely manner. Proactively engage in follow‐up after aid awards are sent and assist with final logistics in preparation for billing.

7. Serve on office or College committees/teams in support of activities related to transfer admission and enrollment processes. When necessary, assist in planning, promoting, and implementing new transfer student orientation programs.

8. Coordinate and supervise the work of student workers as they call prospective students, serve as tour guides, assist in the preparation of mailings, help at visit programs, and work on other projects. Provide training, as necessary.

9. Perform other related duties and tasks as assigned. This includes routine office functions such as typing, filing, scanning, and copying.

10. Participate in logistical activities such as carrying cartons of publications and other materials to college fairs; deliver materials to and pick up materials from the print shop, mailroom, storage areas and other locations, both on and off campus.

11. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students, and visitors to the College. Promote a flexible, collaborative, and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

12. Other duties as appropriately assigned.

Required Knowledge, Skills and Abilities:

1. Ability to consistently demonstrate outstanding interpersonal skills in dealing with persons both internal and external to the College on the telephone, in emails and postal mail, and in person. Ability to work effectively as a member of a staff in which teamwork and cooperation are the rule.

2. Ability to effectively counsel and advise prospective transfers (and their parents, if applicable) regarding numerous aspects of the College and transfer admission processes; ability to perform unofficial transcript evaluations and grade point average calculations. Ability to exercise the proper balance of persistence and patience as individually appropriate to the recruitment of each prospective student.

3. Ability to exercise appropriate discretion in respect of prospective students' (and their families') privacy related to personal and confidential information, such as grades and finances.

4. Ability to quickly grasp knowledge of the organization and operation of the College, both administratively and academically, especially regarding admission‐related processes such as financial aid, advising and orientation. Knowledge of the organization and operation of community colleges from which transfer students are commonly recruited. Up‐to‐date knowledge of developments in higher education in general, as well as at community colleges and other four‐year schools with which North Central College traditionally competes for new transfer students in particular.

5. Strong ability to deal with several tasks and work with a large number of individuals concurrently, often without direct supervision. This requires a person who is well organized, detail oriented, flexible, and able to effectively prioritize tasks.

6. Ability to communicate in the English language, both orally and in writing, in a manner consistent with high professional standards, including contributing to the development of high-quality communications which reflect positively on the College.

7. Ability to assist in effectively selecting and supervising student workers, to include training, scheduling, monitoring, and evaluating.

8. Ability to apply mathematical skills necessary for compiling, summarizing, and analyzing data. Ability to prepare reports which are accurate, thorough yet concise, and professionally formatted.

9. Ability to use common business‐oriented computer‐based systems. Familiarity with Microsoft Power Point, Excel, Word, Web research and electronic communication is preferred.

Distinguishing Characteristics:

More than perhaps any other factor, the degree to which a college attracts and retains good students determines the success or failure of that institution. The individual in this position is a key player in this activity and has a profound effect on its success.

Each year transfer students account for more than one‐third of the new undergraduate students enrolled at North Central College. The individual in this position plays a significant role in the critically important process of contacting and recruiting these transfer students.

In addition to possessing extensive knowledge of North Central College policies and programs, both administrative and academic, the transfer counselor must be able to consistently demonstrate outstanding interpersonal skills, particularly in regard to relating to students seeking a transfer (and, at times, their parents). This is especially important as the transfer counselor is often the first person representing the College with whom prospective transfer students come in contact, and the image of the College projected may be the basis for decisions as to whether or not to pursue the application and enrollment process. It is essential that this individual has a genuine interest in and concern for the people they serve. Also, the transfer counselor may be the primary contact with community college counselors and advisors, transfer center coordinators, and guidance counselors, and impressions made with these key individuals can have a powerful effect on the success of recruiting efforts.

The transfer counselor will be privy to personal and confidential information such as college and high school transcripts, test scores, personal statements, and family financial data and must exercise appropriate discretion in respect of privacy.

The nature of this position is such that a considerable amount of evening and weekend work may be necessary.

Education/Training:

A Bachelor's degree, preferably in the Liberal Arts, is required.

Experience:

One year of successful experience in college admissions or related field (customer service, communications, sales); experience with transfer students or as a transfer student is preferred.

Licenses or Certifications:

A valid Illinois driver's license is required.
