Volt is immediately hiring an experienced Secretary for a local non-profit in Santa Maria!
As a Secretary you will:
- Support the Manager of Services and Supports.
- Assist with the Exception process.
- Generate reports, correspondence, and documents.
- Process Early Start and Age 3 denial/accept letters within 2 days.
- Update records (demographics, case files, status changes).
- Type letters.
- Handle incoming and outgoing mail.
- Print RC notes on scheduled dates.
- Process 3770 and CDER forms.
- Perform general office tasks (photocopy, fax, scan, mail).
- Create tables and forms (e.g., OD schedule, sign-out books).
- Compile data and prepare files for audits.
- Transcribe phone messages.
- Prepare referral packets.
- File documents for service coordinators monthly.
- Cover switchboard and reception duties.
- Schedule appointments and meetings.
- Organize and maintain archive files.
- Update information, lists, reports, and contracts.
- Request medical records within 2 days.
- Maintain copier and fax machines.
- Prepare closure, transfer, inactive, and deceased files.
- Travel to other offices as needed.
- Assist with office supplies and forms.
- Help with facility issues (repairs, service calls).
- Take and distribute meeting minutes.
- Assist with special functions and training sessions.
- Perform additional tasks as needed
The Ideal Candidate will have: - Proficient in computer skills, including Excel and Word (PowerPoint desired)
- Ability to type a minimum of 45 WPM
- Knowledge of correct grammar and punctuation (test will be administered)
- Familiarity with office methods, procedures, practices, and equipment
- High school graduate
- 2 years of relevant experience
- Excellent telephone skills
- Transcription skills (desired)
- May be required to know or learn technical terminology and spreadsheet programs
- Bilingual ability (Spanish/English) required
This is a full time opportunity
Pay rate: Starting from $21/hr
Schedule: Monday - Friday 8 a.m. - 5 p.m.
