RECEPTIONIST

PRIMARY FUNCTION:
This role is responsible for managing the front office of the company and serving as first point of contact for visitors and callers.

ESSENTIAL DUTIES/RESPONSIBILITIES:
• Responsible for greeting and receiving all visitors and vendors in a professional and courteous manner.
• Field general inquiries and locate contacts for customers with issues, exercising discretion and confidentiality as needed.
• Oversee operation of the phone switchboard and update phone directories.
• Oversee courier service needs, coordinates shipments, and receives and distributes all mail and delivery items.
• Maintain an orderly lobby area.
• Manages visitor screenings and security and prepares visitor badges.
• Provide clerical support to other departments and managers as requested.
• Contributes to a positive team dynamic through respectful interactions, positive contributions, and active collaboration to achieve department and organizational goals.
• Incorporates AAA's vision, mission and values in day-to-day activities and behaviors; guides and motivates others to remain committed to AAA's vision mission and values.

SUPERVISORY RESPONSIBILITIES:
• None

MINIMUM QUALIFICATIONS:
• High School diploma or GED
• 1+ years' experience in customer service field
• 1+ year experience with multi-line phone system or switchboard

PREFERRED QUALIFICATIONS:
• Experience utilizing VOIP phone systems preferred

CERTIFICATES, LICENSES, REGISTRATIONS:
• None

KNOWLEDGE, SKILLS, ABILITIES:
• Proficient knowledge in Microsoft Office.
• Ability to adjust style and approach to suit situations that involve rapidly changing tasks, shifting priorities, and simultaneous demands.
• Ability to communicate clearly and professionally both verbally and in writing, including effective use of listening skills.
• Ability to notice discrepancies and inconsistencies in available information.
• Ability to establish and maintain cooperative working relationships.
• Ability to manage multiple projects and requests from various people at any given time and act independently.
• Has knowledge of departmental and company practices, policies and programs in a corporate environment.

WORK ENVIRONMENT & PHYSICAL DEMANDS:
• The physical environment is typical of a standard office space. It requires the employee to work inside for the duration of work. Must be able to remain in a stationary position, sitting for more than 50% of the time. This position will require occasionally moving about inside the office to access equipment, cabinets, etc. May work around office equipment which could be noisy, such as copiers and fax machines.

• Travel: Rarely Travel
