Job Summary
Under the supervision of Brigham and Women's Hospital Office Services Manager, performs and has proficiency in all functions offered by the department of Office Services to the Brigham and Women's Hospital community. In addition to all Audiovisual, Mail Services and Conference Room Coordination duties, must assist Manager with high-level departmental operations, such as supply ordering, fiscal-year budget preparation, requesting and reviewing vendor quotes, purchase order tracking, e-check submission, and reporting using many Partners Applications: Kronos, PeopleSoft, Ergonomics, Hyperion and Vision.
Oversees all video streaming projects such as webcasts, press conferences, multimedia programs with slide synchronization; manages streaming video hosting and client accounts, troubleshooting development and production application programs and providing technical and production support as needed. Serves as an internal consultant to enable access to multimedia technologies to improve employee and organizational performance, education, training, research and public outreach programs.
This is a professional job requiring extensive computer experience and the ability to run high profile events for medical/administrative staff. This position is relied upon as a source of innovation for the department.

-Operates equipment in booths to videotapes events, provides overflow for various meetings, provides computer overhead projection, slide and video projection and audio equipment.
-Assists professional community with their presentations, helping set up and organize for rounds/meetings.
-Maintains all equipment and provides Manager with inventory needs, such as bulbs for projectors as well as maintaining all systems, microphones etc in booths as well as other locations where AV equipment is used.
-Provides basic video-tapingvideotaping and editing using Adobe Creative Suite for rounds, meetings, presentations and uploading them to our server using HTML5 coding.
-Provides back-up webcasting services within the hospital 5.6.
-Support and record hybrid meetings using Zoom, Team and any other video conferencing software.
Qualifications
All responsibilities as the Level 1, 2 and 3 Technician.
Evaluates streaming options for meeting user needs, and creates resolution in an effective, efficient manner. Manages video hosting and streaming client accounts, as well as creates and maintains a video streaming technology website, with support and troubleshooting options. Works with Partners Information Systems to develop and improve enterprise architecture, define video-streaming standards for the hospital. Advises Manager on new technology trends and for cost-effective initiatives. Maintains all equipment and provides Manager with inventory needs, such as bulbs for projectors, maintenance of equipment. 10%
Maintains BWH Office Services Intranet website, reviewing and updating frequently to reflect current offerings of department, helpful links, contact information and important notices. 5%
Directly assists Office Services Manager with financial aspects of the department, including annual budget preparation, non-Capital and minor-Capital purchase requests, purchase order and requisition tracking and inventory. Required to have a full understanding of departmental GL codes and cost center activity. Proficiency with and knowledge of online account/tracking software such as PeopleSoft/E-Buy, Kronos, Vision and Hyperion. 5%
Coordinating with customers events and projects assignments.
Coordinating projects with the technicians and assigning new projects, including video, streaming, equipment moves, office rooms.
Coordinating Zoom events and meetings as necessary. Including camera and audio production level coordination with outside contract and departments like development.
Following up with users of EMS to make sure locations like Zinner and Wolf conference room need AV support
Sets up and operates audiovisual equipment (flat-screens, podiums, microphones, etc.) throughout the hospital. This includes delivering specifically requested equipment to various areas around the hospital at precise times. Incumbent is also responsible for setting up of AV equipment for some larger off-site events, working in teams. 10%
Operates the AV booth in the Bornstein Amphitheater, Zinner Conference Center, Hale Conference Center, etc., for physician rounds, department head meetings and any other presentations in various conference rooms/public spaces. Provides video-taping and editing for rounds, meetings, presentations. Works as senior AV team member to implement the audiovisual and media encoding aspects of educational programs. Assigns and manages weekly video-editing assignments and reports to Manager. 5%

Provide onsite atrium furniture moving services for hospital sponsored events (saving +$50k annually otherwise spent on contracted moving companies). 5%
Ability to take 360 degree pictures and create virtual tours of conference rooms, centers, and office environments and to generate online links of such spaces. 2%
Troubleshoot and maintain public-facing digital signage program (Tightrope Media Services / Carousel players); working with Strategic Communications and Partners IS to triage new requests. 2%
Broad knowledge of 3rd-party software to be used in conjunction with Facebook Live events (Open Broadcaster) as well as web-conferencing: Zoom, BlueJeans, WebEx, GoToMeeting, Skype, Skype For Business. 4%
Graphic design for use for digital/physical signage and for website and video design, as well as PDF forms creation/editing. 5%
Photography services for internal departmental needs-filling in as needed to assist the department of Strategic Communication; scope determined by Office Services Manager and work performed dependent on other duties and availability, providing services in a support role. 2%
Assist as needed for BH-wide "Print Optimization" effort, providing site-surveys of departmental/admin spaces, in conjunction with Real Estate, Partners IS (techs and project teams), and vendor (Ricoh) to optimize print work environments; and to manage and maintain optimized work environments, directing and providing triage and guidance as needed for new requests and escalating appropriately exception request. Acting as a approver in a chain within the purchasing/requisition framework for new requests. Also serving as asset manager for cell phones and computer peripheral requests, working directly with Partners IS to maintain active asset management and databases. 10%
Set up and maintain calendars within MS Outlook for "privately held" conference rooms; keeping current with CMO mandate for proper method for reserving such spaces. 2%
Assist in setting up and putting away Cots during emergent needs.
Train techs in all aspects of Office Services making sure they are following policy.
Assist with onsite/emergent needs for secure paper document disposal-works with current vendor (Stericycle/Shred-It) to provide gaps in this service. 2%
Provide onsite customer support for secure media disposal-host and maintain the container provided by current vendor (Environmental Integrity) for HIPAA-required media destruction. 2%
Providing Leadership meetings microphone running/support (for high-profile meetings: Brigham Management Group, Town Meeting, President's Leadership Forum, Leadership Council). 2%
Small office moves/re-locations of individuals at the request of Real Estate and only if scope is reviewed and approved by Office Services Manager; projects can be completed off-hours depending on other competing duties and whether there is a paying sundry/grant # for the work; projects can be completed within shift hours if related to core hospital business needs and/or Office Services Manager approves. 2%
