Job Description: Interview Scheduler

We are seeking a reliable and experienced Interview Scheduler to coordinate internal and external candidate interviews for our organization. This role is crucial for managing our business's scheduling needs across multiple locations and time zones within the U.S. The ideal candidate will thrive in a fast-paced, multitasking environment and possess effective communication and computer literacy skills.

Responsibilities and Accountabilities:

  • Customer Service: Deliver exceptional service to candidates, employees, managers, and recruiters in coordination and interview scheduling requests.
  • Adherence to Standards: Follow HR Operations Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Complex Arrangements: Manage intricate interview setups, including time zones, multiple panel interviewers, and process documentation.
  • Scheduling: Schedule and confirm appointments for internal and external candidates.
  • Independent Work: Work efficiently with minimal supervision.
  • Support: Assist HR Service Center (HRSC) with service call inquiries or tickets during peak periods.
  • Reminders and Modifications: Send reminders for scheduled meetings and collaborate with recruiters and managers to address scheduling changes or interview modifications.
  • Guidance: Provide candidates with information on facilities and travel arrangements.
  • Knowledge Maintenance: Maintain detailed knowledge of the company's interview scheduling procedures and documentation.
  • Volume Management: Handle a high volume of interview scheduling requests.
  • Solutions: Provide clear, sustainable, and innovative solutions to candidates, recruiters, and interviewers.
  • Improvement: Identify and suggest areas of improvement to enhance the candidate, recruiter, and hiring manager experience.
  • Policy Compliance: Manage all resolutions and actions in alignment with CSL policies and agreed processes.

  • Minimum Required Qualifications:
    • High school diploma.
    • 1-2 years of administrative experience.
    • Strong MS Office skills, particularly in Outlook.
    • Bilingual in English and Spanish (robust English and conversational Spanish required).
    • Strong critical thinking, organizational, and time management skills.
    • Ability to work independently or as part of a team.
    • Effective communication skills with all parties involved.
    • Strong customer service focus.
    • Understanding of process improvement and cross-functional processes.
    Preferred / Nice to Have Qualifications:
    • Experience in HR or Shared Services operations; experience across multiple HR areas is desirable.
    • Knowledge of case management systems and HR Portal technology.
    • Familiarity with Workday is a plus.
