About the Department
The mission of the Animal Resources Center (ARC) is to assist investigators in performing their animal research while ensuring appropriate and humane care of all laboratory animals. The Animal Resources Center (ARC) at The University of Chicago is responsible for the use and care of all research animals on campus. The ARC manages 6 facilities and a business office. Its sections are as follows: husbandry, maintenance, operations, veterinary care, finance and administration. The unit is administratively combined with the Office of Shared Research Facilities (OSRF).

OSRF oversees the core facilities, which make up a pivotal and essential part of the research ecosystem, providing critical resources that enable existing and emerging technologies to facilitate groundbreaking discoveries. OSRF Cores offer expertise in state-of-the-art instrumentation and services as well as experimental design and data analysis to advance research programs across the disciplines. Operated as fee-for-service facilities, OSRF cores are managed in order to best support the University's mission to discover and create new knowledge of living systems. We are driven by the research needs of the faculty.

Job Summary
The job develops and maintains accounting policies and controls, creates financial reports, and safeguards assets. Works independently to manage the general ledger and create financial statements, regulatory reports, and management reports.

Under the supervision of the Director of Finance & Administration, this position provides financial and administrative support to the Core Facilities overseen by the Office of Shared Research Facilities (OSRF) and the Animal Resources Center (ARC). This position oversees direct management of employees responsible for accounting functions, including departmental accounts receivable and payable.

Responsibilities

  • Manage the day-to-day activities of the Financial Administration Analyst and Sr. Business Support assistant, which include but not limited to:
  • Accounts Payable.
  • Accounts Receivable.
  • Recharging/Invoicing.
  • Purchasing.
  • Financial Analysis.
  • Various administrative tasks.
  • Responsible for the calculation and maintenance of the ARC per diem.
  • Document, analyze and develop all rates for the ARC ensuring they are kept up-to-date as costs change. Work with junior staff to train on processes.
  • Responsible for ARC monthly close including data analyzation, input into Oracle, and administrator follow-up.
  • Own Cancer Center account management including quarterly salary reconciliation and ensuring appropriate expenses are moved from the cores accounts to Cancer Center accounts. Collaborate with the Technical Directors and Cancer Center finance team when needed.
  • Responsible for quarterly financial package creation and analysis for the ARC Clinic, Gnotobiotics, and Training Program. Provide timely updates and meet with the Veterinarian leaders as necessary.
  • Assist the DFA with the monthly ARC forecast and report development.
  • Partner with the DFA to complete the annual rate calculation for the cores. Understand NIH rules and regulations regarding recharge rates.
  • Responsible for quarterly variance analysis for cancer center core facilities and coordinating quarterly or bi-annually meetings with the cores.
  • Embrace the E4 Leadership Principles (Engage, Evolve, Excel, Equality) and continually strive for process improvement; engage in E4L events throughout the ARC and OSRF.
  • Provide guidance and mentoring to direct reports, working with them to expand their knowledge and skills to help them progress in their careers.
  • Participate in the implementation of a new OSRF core management system, helping with training and change management for OSRF Directors, administrators, and other users of the system.
  • Be an active participant in the new animal operations software implementation.
  • Uses in-depth knowledge and experience to perform a variety of complex operating or cost accounting activities, incorporating accounting theories and principles.
  • Develops income and balance sheet statements, consolidated statements, and various other specialized accounting statements and reports.
  • Guides others and acts as a resource on systems of recording costs or other financial and budgetary data.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Work Experience:
Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

Education:
  • Bachelor's degree in Accounting or Finance.

Experience:
  • Minimum of 5 years of experience in an administrative, operations or finance role.
  • Experience working within a scientific setting or strong understanding of biological sciences strongly preferred.

  • Excellent written and verbal communication skills required, including the ability to communicate financial information to a non-financial oriented audience.
  • Excellent organizational and customer service skills.
  • Ability to summarize detailed issues in a concise and structured manner strongly preferred.
  • Ability to work independently and with a team.
  • Excellent computer skills required (particularly Microsoft Excel, PowerPoint, and Power BI).
  • Ability to work under pressure, manage competing time-sensitive deadlines and priorities in a fast-paced environment.
  • Must demonstrate ability to work on more than one project at one time.
  • Capacity to handle multiple tasks in a short amount of time.
  • Must be detailed and organized and respect confidentiality.
  • Ability to respond to e-mails from customers in a timely manner.
  • Ability to work independently and be proactive when necessary.

Working Conditions
  • Required to stand and/or sit for prolonged periods of time required.
  • Ability to use standard office equipment required.
  • May require substantial walking between facilities and cores.
