Job Description Summary
Reporting to the General Manager, the Finance Administrator is responsible for the coordination of ongoing business office functions and general bookkeeping, including the management of the Center's full-time, part-time, and union payrolls (ca. 200 temporary workers) including new employee onboarding and creating and managing the Center's job requisitions; maintaining key aspects of Annenberg Center's financial systems (e.g., the processing of all purchase orders, pro-card reconciliation, accounts payable and grant proposals as well as the depositing and recording of payments due and received); knowledge of IRS regulations to acquire payments for the Center's many contracted performing artists; administration of staff travel reimbursements; coordinate the federal work-study program; maintenance of office supply inventories and equipment; processing rental invoices, journal funds to and from University department and student accounts; final show settlements; ad-hoc reporting; manage data and accounts necessary for monthly and year-end reporting. This position will manage the Business Office's work study and temporary/part time staff, consisting of 1 to 3 employees.

Job Responsibilities

  • Grant Support: Manage proposal development, budget development, and related pre-award activities for a diverse sponsor portfolio; manage post-award activities including account setup, monitor and review all sponsored project expenditures including fund projections; monitor and enforce compliance with sponsor guidelines; provide support in post-award reporting.
  • Payroll: Provide payroll in Workday for part-time, student, and union workers.
  • Purchase Order and Journal Entries: Understand and comply with Ben Buys and Purchasing policies; process Purchase Orders; process journal for internal services, ticket sales, and grant administration.
  • Reconciliation: Reconcile information recorded in Ben Financials, Tessitura, and Compass; prepare monthly reports for department heads; reconcile P-card transactions.
  • Ad Hoc Reporting: Provide analysis on financial transactions.
  • Travel/Expense Management: Process, review, and approve Concur travel and expenses transactions.
  • Performance Settlements: Process performance settlements, calculate NAGBOR, and process journal entries.


Qualifications

  • Bacholer's Degree and 1 to 2 years of experience or equivalent combination of education and experience is required.


Job-Related Knowledge/Skill
  • Bachelor's degree in finance, accounting or related field, and 1+ years of experience or equivalent combination of education and experience. Must have previous experience in business office operations; solid computer skills; knowledge & training in Workday, Concur, BEN Buys and BEN Financials preferred; must be highly organized, analytical and detailed oriented with the ability to create ad-hoc reports and successfully manage multiple projects. Must possess excellent written and oral communication skills; ability to work independently, problem solve and take initiative.
