Position Overview:

The purpose of the Exchange Coordinator is to perform a variety of operational functions to support fuel reliability for our customers ranging from forecasting to financial booking at all exchange terminals. This role supports Commercial Managers to coordinate exchange activity related to Motiva's fuel sales. In this position, we are looking for a self-starter, a critical-thinker, and someone with strong attention to detail.

Responsibilities:

  • Daily scheduling of hydrocarbon activity and advise on product availability.
  • Ensure all Right Angle hydrocarbon transactions are entered correctly and on time to ensure timely booking of HM transactions.
  • Update deals in Right Angle accordingly as new addendums are signed.
  • Participate in regular meetings to ensure proper information flow and optimization of assets/processes.
  • Month-end accounting close reconciliation and other relevant activities to expedite proper invoicing.
  • Work with the Hedge team to project accurate volumes for each decade.
  • Reconcile concerns with back office accounting group, working with other groups as necessary to rectify issues and provide timely accounting payout/receipts.
  • Manage terminal allocations by customer/product/COT to best match available supply to actual demand in DTN Tabs tool.
  • Understands the allocation software systems and material master/set-up systems. Provides troubleshooting support to LSS and Sales support who use these systems to ensure they are working properly.
  • Assist in generating the monthly demand forecast and manage terminal allocations by customer/product/COT to best match available supply to actual demand.
  • Support Product Managers in maximizing opportunities for unbranded gasoline (identify new and existing racks to grow business with supporting analysis).
  • Supports Fuels Reliability Department in developing tracking tools and MI systems.
  • Responsible for initial product code creation, customer and terminal setups, pricing to ensure E2E implementation.
  • Coordinate with various stakeholders
  • Provides contributions/support on supply chain change management issues such as asset acquisitions/divestments, fuel spec changes, product quality incidents and includes activities/impacts to equity and outside supply points/terminals, rack systems, data feeds, and product codes, etc.
  • Reviews and audits KPI's & other metric trend analysis, root cause analysis and provides process improvement solutions.
  • Perform ad hoc analytical work in support of various Fuels Reliability projects and daily activities.
  • Effectively communicate with Sales staff and other internal staff as well as other oil company representatives when necessary.
  • Craft presentations and reports based on recommendations and findings
  • Structure large data sets to find usable information
  • Establish KPIs to measure the effectiveness of business decisions
  • Collaborate with team members to collect and analyze data
  • Create eports for internal teams, external clients and/or stakeholders
  • Consult business leaders to identify improvement opportunities
  • Use statistical tools and techniques to explore and analyze data, identifying patterns, relationships, and trends
  • Prepare reports and presentations to communicate the insights and findings from the data to stakeholders, which can influence policy and decision-making processes
  • Ensure that data is accurate, consistent, and reliable throughout its lifecycle, which is critical for making valid and trustworthy decisions
  • Cleanse data and scrutinize computer-generated reports and outputs to identify and rectify errors
  • Develop data dashboards, charts, and visual aids to support decision-making across departments
  • Coordinate with management to align business and informational priorities

Experience and Qualifications

Basic Qualifications:
  • Bachelor's degree required.
  • 2 years of professional experience in an analytical capacity.
  • Proven ability to use data, metrics, and information to generate informed business decisions.
  • Excellent analytical and computer skills, utilizing SAP / Right Angle, Microsoft Office Suite, Access relational database, Internet applications and SQL.
  • Demonstrated ability to be highly organized and able to work on multiple projects simultaneously, both in a team and individual atmosphere.
  • Strong negotiation skills required.
  • Strong analytical skills, business acumen, and knowledge of commercial terms in a downstream oil and gas environment.
  • Strong leadership of cross-functional teams/networks with excellent communication skills.
  • Strong written and verbal communications with both internal and external stakeholders.
  • Ability to manage cross department teams without supervisory authority.
  • Candidate must be able to work with and influence other departments that impact the organization.
  • Interpersonal skills, persuasion/negotiation skills, communication skills and networking capabilities required.
  • Must be accessible beyond normal business hours, 24x7. This will include weekends, holidays, and long hours when supply chain issues occurs.
  • Proven capability to understand processes and systems and be able to make business decisions that have a critical financial consequence to Motiva. Supply and Sales credibility is essential to personal effectiveness in this role.
  • Ability to multi-task and manage varying priorities.
  • Ability to deliver results through others.

Preferred Qualifications:
  • Experience managing supply chain and familiarity with Motiva's demand management systems, including Right Angle, TABS/DTN, BI, Salesforce, T4 and ARMED.
