Job Description:

SUMMARY

Retrieve data from internal software applications, receive requests via phone and e-mail, input received requests to systems, and process output of documents as requested via mail or electronic methods.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Verify output matches requested input; check for special client instructions; update status report; report discrepancies to IT or appropriate contact
  • Assemble documents in document holder
  • Prepare mail based on specific instructions (electronic, Fax, USPS, FedEx, UPS); Update message file data to internal systems
  • Follow standard processes for returned mail
  • Respond to direct client requests via written or verbal communication
  • Process all new client mailings related to maintenance passports and insurance cards
  • Communicate with internal departments relating to new clients and special instructions
  • Utilize Checkmate application to bill manual states and Canada
  • Engage in frequent internal and external customer contact (Driver Services, Client Services, VOTR, brokers, Fleets, DMVs)
  • Staff the Passport/Insurance line and answer questions from Driver Services, Client Services, and Account Transitions
  • Ensure critical time deadlines are met; execute turnaround times
  • Work overtime as required to meet client deadlines
  • Work with Canadian associates regarding the mailing of Canadian insurance cards (PINKS)
  • Manage Intent to Suspend and Suspension notices related to insurance coverage issues according to departmental guidelines.
  • Update client profiles related to Certificates of Insurance. If on the card program, print and send cards to drivers according to profile requirements.
  • Other duties as assigned
QUALIFICATIONS
  • Demonstrates strong customer service skills
  • Ability to use a PC, Fax machine, copier and calculator
  • Ability to create and manage mail merges within Word
  • Ability to execute data sorts and searches in Microsoft Excel
  • Investigate and resolve problems
  • Accurately enter information on-line
  • Organize work to allow handling of multiple priorities
  • Ability to work in a high production environment under occasional stress conditions due to client deadlines

EDUCATION and/or EXPERIENCE
  • Associate degree with emphasis in business, or 2 years related experience
  • Familiarity with windows based PC applications

PHYSICAL DEMANDS/WORK ENVIRONMENT
  • Employee is required to speak, hear and see, and to use hands and fingers for computer keyboard and sorting through printed materials, assembling mailings and using telephone.
  • Additional assistance may be requested to lift boxes weighing up to 30 lbs.
