The Position

Hottinger Bruel & Kjaer Solutions LLC is looking to a qualified and talented Contracts & Administrative Manager to join our fast-growing team. This position involves a variety of duties including all aspects of contract administration and managing a small administration team. You will be working to support a diverse team of engineers, data scientists, and developers through our office in Starkville, Mississippi including Remote Staff. This is a hybrid position that is primarily remote.

You will be providing support and administration of contracts and the Enterprise Resource Planning (ERP) software used to provide project and financial oversight for the business. This includes working with HBK Solutions Director and Management Team to provide proposal and contract administration along with the financial oversight of the Unanet ERP software system.

Primary Responsibilities:

Contracts Manager Responsibilities include supporting contract execution for HBK Solutions LLC:

  • Contract administration and management
  • Cost proposals
  • Cost estimates
  • Contract review in terms of deliverables, schedules, and costs to ensure completeness and accuracy
  • US Government regulations, including FAR/DFAR compliance
  • Interface with legal
  • Interface with customer contract administrators
  • Subcontract administration
  • Labor rate model
  • Interface with sales, business development, engineering, software and management
  • Export (ITAR) control
  • Other duties as needed
Administrative Manager Responsibilities include:
  • Supervises a small administration team
  • Accounting oversight including: Accounts Receivable, Accounts Payable, Payroll Reconciliation, Bank Reconciliation, Monthly Closing, Accounting Consulting Interface
  • Oversight of Unanet Enterprise Resource Management implementation at HBK Solutions LLC
  • Office administration oversight
  • Support Management and team activities as needed
  • Other duties as needed

Education, Experience and Professional qualifications
  • US Citizen (Requirement - no exceptions)
  • 4 Year degree in Business Administration with an Accounting emphasis
  • Minimum of 5-7 years of relevant experience
  • Experience with managing people
  • Experience with Enterprise Resource Planning (ERP) software (Unanet, SAP, et al)
  • Experience with Cost Proposal (organizing, writing, and cost modeling)
  • FAR/DFAR regulations as applicable to HBK Solutions business model
  • Experience with building and managing prime contractor (customer) relationships
  • High level of interpersonal skills to work independently and effectively with others
  • Exceptional skills related to time management and decision making
  • Willingness to travel to support customer projects and implementations
  • Good communication skills, both verbal and written
  • Computer software skills including Microsoft Office
  • Document management skills
