Job Summary

This position is responsible for the continued and effective care and upkeep of the various tenants and departments located in the Indiana Memorial Union (IMU), a historic, heavily used, and beloved part of campus. The IMU is nearly 500,000 square feet and is a high volume, high occupancy building including 50,000 square feet of meeting space, 189 hotel rooms, retail dining, offices, and public spaces. It is heavily used by students for programs, meetings, studying, and hanging out, and the IMU is designed to be their second home on campus.

Department-Specific Responsibilities

  • Oversees processes and projects related to building operations and maintenance and the activities of a multi-craft maintenance and custodial group, such as maintenance planning, security/access control, emergency response, inspections, repairs, and corrective action.
  • Provides comprehensive facility oversight and assistance for teams within the department.
  • Manages building operations and maintenance such as maintenance planning, security/access control, and emergency response.
  • Coordinates fire and life safety, environmental safety procedures, and planning with university personnel and external agencies where required.
  • Performs periodic scheduled and ad hoc inspections to identify cleaning and property maintenance needs.
  • Participates in all aspects of project development, budget, implementation, and completion.
  • Prepares estimates for repairs and ensures building maintenance falls within allocated budget with an emphasis on cost-containment.
  • Coordinates fulfillment of work orders for corrective action and routine maintenance; monitors progress, escalating especially complex matters as needed.
  • Monitors and maintains inventory levels and equipment/asset conditions through regular inspections and completion of required documentation.
  • Orders supplies/equipment when necessary.
  • Participates in and maintains an on-call rotation to cover emergency situations.
  • Provides guidance to non-exempt Licensed & Skilled Trades staff or lower-level Facility Operations Specialists; makes procedural and process recommendations to supervisor for improved operational efficiency.
  • Leads a maintenance team of 6 - 8 full time staff members, including several skilled trades.
  • Leads a custodial team of 14 - 20 staff members, including 3 shifts.
  • Develops and manages departmental annual expense budget.
  • Assists with planning and tracking of IMU long-term capital and equipment replacement plan.
  • Coordinates routine care and maintenance with food service operator operating several retail locations and operating food service kitchens located in the IMU.
  • Coordinates and provides input on facility upgrade projects and works with contractors and university facility operations performing work in and around the Union.
  • Provides support for operational facilities in outdoor areas immediately adjacent to the Indiana Memorial Union.
  • Reads and interprets blueprints.
  • Provides project coordination and leadership for building updates, renovations, repairs, and upkeep.
  • Manages themselves and their teams in a way that considers the work done in public view and in close proximity to students, guests, visitors, faculty, and staff.
  • Coordinates with other department leaders in management, finance, hotel operations, meeting and event services, student involvement, marketing, and other IMU tenants.
  • Regularly engages with a diverse range of customers, including students, staff, and visitors, ensuring that their needs are met in a timely and professional manner, and maintaining high standards of service in a fast-paced, high-traffic environment.
  • Serves as an operational resource for student programming board.
  • Serves on the IMU's Leadership Team.
  • Sets priorities and/or sequence of tasks to achieve objectives with some oversight.
  • Provides guidance and support to junior-level peers.
General Responsibilities
  • Provides day-to-day operational management of Facility Operations staff.
  • Establishes short-term operational objectives.
  • Identifies operational issues and/or areas of improvement and implements solutions to improve processes and/or operational efficiency.
  • Analyzes, monitors, and evaluates performance of assigned staff; establishes work priorities, conducts performance reviews, and provides corrective action as needed.
  • Ensures adequate staffing and effective scheduling; participates and informs employment decisions for assigned staff.
  • Provides direct supervision and oversight of assigned staff and activities; impacts, and is held accountable for, the performance of team and/or assigned staff.
  • Ensures and provides training to assigned staff to improve Facility Operations; researches and identifies development opportunities for assigned staff.
  • Researches and stays up to date on new industry Facility Operations standards, best practices, and emerging technology; keeps next-level leader(s) informed of trends as well as significant problems.

EDUCATION

Required
  • Bachelor's degree in business, inventory management, controls, facilities management, or related field

Working Conditions / Demands

This role regularly requires the ability to effectively communicate. This role frequently requires the ability to handle equipment. This role frequently requires the ability to remain stationary and ascend/descend ladders/stairs. This role requires the ability to move objects weighing up to 25 pounds. The role requires the ability to detect items in close proximity as well as far away; discern between colors; detect objects in peripheral space of self; discern items in detail; and to have good depth perception. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary

$90,000 - $96,000 annually, based on education and experience.
